CEN All Staff Meeting Notes

1. Announcements were made regarding 4 items:
a) If a staff member needs financial assistance, it may be available for those in need. There is a fund and more information is on the HPL Intranet. Certain conditions and exclusions apply.
b) Feb. 13 is the Texas Lunar Festival. There will be some street closes. Please look at the email that Maria G. sent to all CEN Services staff yesterday re: this. On Feb. 14th, Allen Parkway will be closed. On Feb 27, the Rodeo Parade will cause the late opening of the Central Library. Staff will work from 1 - 5 PM. You won’t be given the other 4 hours. Please work with your Supervisor for your schedule.
c) On March 17th, Rosa Hernandez has volunteered to work at Discovery Green. An appeal was made to all Cen. Services staff and James L. volunteered for Tues. March 15. This is the Spring Break week. We were asked to cover 4 days and we are covering Friday, as usual, plus two extra days with one person.
d) It is very important to log off all the PC’s. Please leave all the computers turned on but LOG OFF. Marcia Chapman is the Librarian-in-Charge this weekend and will help ensure that all computers are logged off.
2. Passport Service/Pre-Processing: Elvis reviewed the pre-passport processing
procedure. 460 applications were processed last month. These are Elvis requests:
a) The Customer needs a Check or Money Order. If they don’t have one, please direct them to Bank of America, CVS, or the Corner Store.
b) The application must be completed in Black Ink., then put the customer on the list.
c) Check the passport photos. There needs to be a little white area on the top of the head.
d) Most customers have their application preprinted. The application forms don’t cost the Library.
e) After you check the application, and know they have a money order or check, put them on the list and give them a pager. The pagers don’t work on the 4th floor
f) but families with Kids can go to the Kids room and the Passport Agent will call them there when it’s their turn.
g) When it’s close to closing time, don’t send the customer away. First, check with the Passport agents.
h) Not double sided, it needs to be two separate pages.
i) 2010 is old, 2013 is current.
j) Savannah Dorset asked what if the parents were died. Elvis said that they still need to fill in the information. Don’t leave it blank and don’t use white-out.
k) Meryal Annison said that it important to list the pager and then enter.
l) Audrey Stanley has trained to become a passport agent!
m) Question regarding ID: send them to Passport Agent.
n) Problems with Pagers: Eric Vernon, who now works part-time can reset them. He works after 5:30 PM and weekends.
3. The two new CEN CLST Staff members, Tina Akram and Alberto Diaz are in training
today.
4. CC Collins spoke about Call Slips:
a) Items put on account
b) make slip
c) Sometimes with the elevators not working, it can take more than 15 - 20 min.
d) Take your time and do the call slips correctly.
e) Mary Cole said if a customer doesn’t have an account. Create an card first.
f) Put the customer’s name, phone number, and your name. Not initials. They were very pleased that Brad does his correctly.
5. HPL - BBQ day or some celebration for the CMC 2016—Valeria
6. The suggestions from the box located in the Staff Lounge were reviewed.
a) when not working on display carts, put them away
b) Having bins, creating affinity groups would help.
c) Have go to people, for ex. Katie for Gov’t Doc’s, Brad for History, Fred M. and his specialty.
