Here are a few reminders from your coworkers pulled from the suggestion bucket. We will address more at our next staff meeting, however we wanted to make sure a few things got addressed as quickly as possible. Please remember, if you have a Google account, you can add questions and comments to this thread.
1) When writing notes, please make sure to put the date at the beginning of the note and your initials followed by our department at the end (ex. 12/19/13 Customer made aware of balance of 9.40 on acct. (Example: Customer understands what the fine is for and will pay on next visit. DP/LST)
2) Question: What is a "Projected" Fine?
Answer: A projected fine is the amount the customer will be charged when overdue items are returned. Fines on accounts DO NOT assess until the items are returned, so a customer can have a standing fine of .20 and still have a "Projected" fine of 10.20. This means the customer has a fine of 10.00 on overdue items on their account, however they can only pay the standing fine of .20 until the overdue items are returned.
3) A reminder: If you see an item you find interesting in the sorting room or on the shelf, please put it aside and take a look on your break time. It is very hard to be an active participant in the sorting room when standing and reading.
4) We are a fun department and we can be incredibly social. One thing to remember when being social while in the sorting room or on a project with your peers is to keep working while being social. We all have a tendency to get lost in conversation and must all work to remain productive.
5) If you have laptops or circ, take some holds with you to avoid having to call down and request a sorting room check for the items. This will save a step. We are working to add holds into the schedule, but there are some days we are pressed and need the backup.
6)When checking in, please remember title pages always come first as we ARE in competition with other locations in terms of hold stats. If another location catches a hold before we do, we lose that hold count.
7) We are receiving a lot of delivery items lately and are getting backed up in terms of breaking down. Please remember to organize the cart you're checking in to maximize the time we have with our volunteers. We recommend using an additional cart and break down items you're checking in like this:
1st row - first floor items (AV, Fiction, Genre, LP, WL)
2nd row - 2nd floor and 3rd floor items
3rd row - 4th floor items and stacks items
Doing a pre-break on these carts really does lead to a faster turnaround and less confusion when our volunteers are working for us.
8) Please specify what the cart you're leaving behind is instead of just putting a "Need to Check in" sign on it. If possible, put "Bookdrop, title page, trap holds, etc". Some people avoid these carts as they are seen as a "special project".
9) Question: When we check in items, which wizard should we use?
Answer: When you check items in from delivery or from a customer "in person", use the "Discharge" wizard
Title Pages should be checked in via the "Trap Holds" screen
Bookdrop should be checked in under the "Bookdrop" screen
10) What is the difference between Non-res and Non-res Waiver?
Answer: Non res waiver is for a customer who lives within the state of Texas, but not in the city limits of Houston (Bellaire, Conroe, Amarillo, Dallas, Woodlands, etc). These people DO NOT have to pay for their library cards with us.
Non-resident is customers who do not live within the state of Texas (New York, Florida, the Netherlands, etc). All people who live outside the state of Texas MUST PAY a fee of $20 for 6 months and $40 for a year. If a customer has a letterhead from an organization they're staying with, such as the Houston Ballet, we can create a card for them free of charge to expire on the end of their stay.
11) We are no longer pushing the media cart to the end of the circ desk for customer to look through. All adult feature films should be sent down the chute to prevent this from happening.
12) When you are called away from the laptop desk and there are no people to watch the desk, lock the cabinet and take the key with you to avoid laptops magically disappearing on your watch.
13) Security is in charge of the gates leading out of the building, not us. If a customer beeps, let security handle the issue. We do not vouch for customers as this may lead to them escaping with another item we had not seen.
14) Customers are experiencing issues with their PINs when entering them on self-checks. Customers who have repeated numbers in their PIN (Ex. 9225 or 4422 or 2213) are experiencing these issues as the computer is thinking they are mistakenly entering in the same number twice. If a customer is having an issue with their PIN number, wait with them at the self-check and make sure they're pausing between numbers. This will hopefully solve the issue.
